We are looking for a Senior Administrative Assistant (m/f) freelance/temporary employment for a project in West Switzerland Reference number: 170640/11 Start of the project: asap Project duration: 11 MM Your Duties:
- Performing administrative duties, which may involve contact and exposure to highly confidential materials and information
- Managing the schedules of those whom they support; schedules meetings and travel arrangements for department members, visitors, partners and vendors as required
- Accountable for planning department meetings and organizations (schedule attendees, book conference rooms, arrange catering, prepare presentations, compile notebooks, meeting materials, handouts, etc.)
- Providing phone support; assuming responsibility for copying and faxing
- Developing and maintaining filing systems
- Preparing and maintaining PO spreadsheets to monitor budgets against requisitions
- Maintaining up-to-date contact lists for department members
- Processing accounts payable invoices and all aspects of expense reporting
- Preparing correspondence, spreadsheet reports and presentations; assisting in presentation building (contents proactively responds to questions, concerns and requests for information and resolves routine questions and information requests)
- Managing the administrative priorities of the department and informing senior members about conflicting priorities
- Serving as reciprocal back-up for other Administrative Assistants and Executive Assistants in commercial operations as required
- Ad hoc projects, as assigned by the Senior Director and other senior members
Your Qualifications:
- High School diploma or GED required
- Bachelors degree preferred
- Profound experience required
- Experience in supporting senior level management
- Extensive working knowledge of MS Word, Excel & PowerPoint
- Advanced knowledge of MS Outlook is essential
- Experience with expense reporting systems/software
- Strong interpersonal skills; position continually requires demonstrated poise, tact and diplomacy
- Ability to interact and communicate effectively with individuals at all levels of the organization
- Strong attention to details in composing and proofing materials, establishing priorities, scheduling and meeting deadlines
- Ability to work in a fast paced environment and to simultaneously manage multiple competing tasks and demands
- Flexibility in handling multiple tasks of a different nature and ability to prioritize efficiently
- Ability to handle confidential information and issues effectively
